Peace Corps/Thailand has a need for Accommodation and Conference Venue for the Reconnect 135 and Counterpart Conference in Bangkok, Thailand. Peace Corps is soliciting fixed-price quotations from the vendor community for the supplies and/or services detailed below.
If you are interested in submitting a quotation, please do so by sending your completed and signed Attachment 1—Vendor Quotation Form e-mail to:

Quotations are due no later than noon (12.00 pm) on Tuesday, May 7, 2024. Late quotations will not be accepted.
Written questions about this Request for Quotation (RFQ) may be sent in the same fashion to the individual noted above in advance of the RFQ due date. No phone calls please.
Peace Corps will evaluate all quotations received by the deadline based on the minimum requirements and/or evaluation factor(s) shown below. Contingent on the availability of funds and continued need for the supplies and/or services, at the end of the evaluation process, Peace Corps intends to award a firm-fixed-price contract for the purchase of the required supplies and/or services to the selected vendor.
A. Statement of Work/Description of Requirements
• Lodging: Total 334 rooms during June 9 to 19, 2024. Required Number of rooms each day, and Check-in and Check-out Dates are shown on below table.
Required extra details include:o Type of rooms available in the package and size of room (square meters)o Wi-Fi (if free of charge)o Availability of Complimentary
• Conference venue: 5 Conference rooms (each room for 5-50 persons) to be used during June 9 – 19, 2024. Required Conference rooms each day are shown on below table.
Required extra details include:o Number of participants in each room size for Round Table and/or U shape arrangement. o Partitioning of conference rooms (if any)o Including Standard meeting equipment and Audio-Visual Equipmento Wi-Fi (if free of charge)o Availability of Complimentary
• Conference package: required Coffee and Snack Breaks and Lunch to be served during June 9 – 19, 2024. Details are as below table.
Required extra details include:o Cost of 2 Coffee and Snack Breaks per day per persono Cost of Morning Coffee and Snack Break per day per persono Cost of 1 Lunch and 2 Coffee and Snack Breaks per day per personso Availability of Complimentary
B. Place of Performance
Bangkok, Thailand Required Delivery Timeline is included in Above Table.
C. Contract Terms and Conditions
As an Agency of the United States Government, Peace Corps has an approved contract template that it intends to use for the award. Peace Corps reserves the right to deny making a contract award to a vendor should they refuse to sign the Peace Corps approved contract template.
D. Minimum Criteria:
A quotation will not be considered further if it does not meet the following minimum criteria:
• Lodging minimum 45 rooms (twin beds). • Room availability to Check-in on Sunday, June 9 and Check-out on Wednesday, June 19, 2024 • Inclusive of Breakfast• 2 Conference Rooms all day for minimum 50 persons, 1 medium breakout room for minimum 30 persons, 1-2 small breakout room for 5-10 persons.• Conference rooms availability to use on June 10 – 15, 2024 and June 17-19, 2024. • Ability to serves either full days meeting package, or separated coffee and snack breaks.
E. Evaluation Factors:
Quotations that meet the minimum criteria listed above may be further evaluated based on the following factors:• Willingness to sign Peace Corps contract template• Price• Number of Lodging availability and room type • Number of Conference rooms availability and size (include standard meeting facility) • Safety and Security provided (i.e.; 24 hrs. security guards and CCTV, alarm system, smoke detector, etc.) • No Requirement on advance payment • Payment Method and Credit term • Accept VAT Exemption (optional)
Award may be made with or without negotiations between the Peace Corps and the selected vendor. Award may be made to a vendor that provided the lowest priced technically acceptable quotation, or to a vendor other than the one that provided the lowest priced quotation, should that vendor be determined to have provided the best value quotation to the Peace Corps taking technical and cost factors into account.
All vendors that submit quotations in response to this RFQ will be notified of the results.
